This Campus Assistant position provides administrative support for CVTC’s Energy Education Center campus and assists students and other customers as the first point of contact for the campus. Other responsibilities include programming/scheduling, registration and financial processing/reporting, facility concerns and coordination, office staffing, general student/public relations, supporting programs and Workforce Solutions & Continuing Education contracts within the division.Responsibilities:Student and community engagement:Serve in a forward-facing position to greet and assist students, employees, area employers, and other campus visitors. Provide accurate information in a courteous, friendly, concise, and approachable manner.Act as a liaison to Student Central, addressing financial aid, course, and program questions.Assist students and employers with registration, course information, and schedule changes.Oversee the campus food pantry and coordinate with Student Life for stocking and record-keeping.Administrative support:Provide general clerical support for campus employees, the dean, and for Workforce Solutions & Continuing Education.Maintain campus common areas, ensuring materials are current and well-stocked.Coordinate the dean’s calendar and assist with divisional scheduling needs.Perform administrative tasks in the absence of the dean/campus manager.Manage laptop checkouts and returns for students and employees.Serve as a proctor for testing.Open, balance, and close cashiering sessions; process payments and maintain financial records.Order and stock office suppliesPerform banking functions and assist with divisional financial tasks.Process purchase orders and utilize p-card.Document and update campus procedures.Serve as backup assistance to other regional campus assistants and other academic divisions as needed.Event support:Coordinate campus events by assisting with scheduling, marketing, and catering services and coordination with IT/multi-media services and custodial/maintenance staff as needed.Serve as the liaison for event-related matters and ensure customer satisfaction.Oversee special projects and assist with campus recruitment and orientation events.Facility support:Assist with day-to-day operations of the Energy Education Center.Act as guardian of universal office and campus keys.Schedule room reservations.Assist with maintenance issues, work orders, IT tickets, and incident reporting.Required Knowledge, Skills and Abilities:Excellent organizational skills and ability to prioritize tasks and work with interruptions in a multi-tasking environment.Strong attention to detail and ability to keep accurate records.Ability to use judgment, discretion, and decision-making skills in dealing with confidential and sensitive issues.Ability to work effectively individually and as a member of a team.Ability to adapt to and learn new technology and software as needed.Ability to model integrity through self-awareness, personal accountability, ethical behavior, quality standards, and sustainable practices.Ability to think critically by applying problem-solving practices, acquiring relevant information, using technology and other resources appropriately, and evaluating alternatives.Ability to communicate effectively by speaking and writing, concisely, and professionally; practicing active listening; reading critically, and adapting communication for the audience.Ability to value diversity by recognizing personal biases, adapting to culturally diverse situations, and demonstrating a commitment to equity, inclusion, and respectful interactions with persons of diverse ethnic, cultural, social-economic, or educational backgrounds.Intermediate knowledge of and skills with software programs for communication, data collection, and decision making including, but not limited to, Microsoft Office Outlook, Word, and Excel, Lumens, QuickBooks, and Banner.Associate’s degree from an accredited college in Executive Assistant or related field with specialized training in areas such as customer service, office technology, and/or project management.Minimum of two years of experience in a professional office setting.In evaluating candidates for this position, the College may consider a combination of education, training, and experience which provides the necessary knowledge, skills and abilities to perform duties of position.The College is seeking to attract diverse instructors and staff who can inspire our increasingly diverse student population.
